Role at-glance

The Executive Assistant will be responsible for a variety of tasks every day, including assisting with scheduling, implementing systems, coordinating meetings, and answering emails. This person will have a strong sense of urgency and must enjoy "to-do lists". The ideal candidate will work well with minimal supervision, gradually taking on more responsibility and leadership within the team. They will enjoy both repetitive tasks and new challenges every day. With the help of this individual, the CEO is hoping to focus more on running the business and much less on the back-end/daily administrative tasks, enabling to advance of company initiatives and goals. We are looking for an exceptional candidate who is willing to go above and beyond - just like other members of this team.


  • Handle communications on behalf of the CEO, monitoring emails, phone calls, and messagesSchedule and prepare for meetings for CEO & CSO taking notes and implementing follow ups as needed
  • Manage the CEO's complex and dynamic calendar of appointments under significant constraints, evaluate and prioritize time requests, and ensure the CEO is on schedule and has received briefing materials in a timely manner from appropriate executive leadership team members for all appointments
  • Sorting through mail and other communications and distributing to the appropriate parties
  • Calendar management and scheduling
  • Support the CEO in various tasks to free up his time, which may include both professional and personal tasks
  • Produce reports, presentations and briefs
  • Assist with long-term strategic planning in regards to businesses, relationships and other opportunities as they arise
  • Provide direct administrative support to the CEO & CSO
  • Arrange complex and detailed travel plans for the CEO, provide itineraries and agendas, compile documents for travel-related meetings, and complete travel authorizations and expense reports on behalf of the CEO.
  • Coordinate the flow of incoming and outgoing communications to the CEO's office by receiving, routing, and/or responding to incoming communications.
  • Provide logistical and tactical support to the Board of Directors meetings at the direction of the CEO and CSO
  • Lead special projects from the CEO's office, making sure every task is completed and resources are available.
  • Manage special events, conferences and special invitations that CEO & CSO receive from different places.
  • Develop and implement processes, procedures, and tools to ensure a well-functioning Executive Office. Maintain files to include correspondence and official documents and reports up to date.


  • 4-5 years executive administrative experience supporting high level, productive executive(s)
  • Outstanding organization

  • Advanced English Communication Skills (writing, speaking and reading)
